Interlibrary Loan

Interlibrary Loan (or ILL) allows the Thomas County Public Library System to access materials it does not own and that are not available within the PINES catalog.  ILL is a book borrowing service for books unavailable within the PINES catalog only. 

Please check the PINES catalog before submitting a request through ILL.  

Interlibrary Loan Policies

  • Your library card must be active and in good standing, meaning no fines or overdue materials.
  • Any costs for borrowing or photocopies are passed on to the requesting patron.
  • ILL items must be returned inside the requesting branch and not in the book drop.
  • The patron is responsible for the replacement costs of any lost items, determined by the owning library, which may be $100 or more.
  • Loan period of two (2) weeks; renewals are determined by the owning library.
  • We cannot borrow bestsellers, books released in the last six (6) months, or audiovisual materials.

Please be aware that the following materials are hard to attain:

  • Genealogical material (photocopies can be requested at a charge).
  • Old or rare books.

Are there fees for using Interlibrary Loan?
TCPLS will avoid borrowing from libraries that charge if possible.  However, in some cases, the item is held only by libraries that charge.  In that instance, any fees the other lending library may charge will fall onto the individual.  TCPLS will confirm with the requesting patron before borrowing from a library that charges.

How many requests can I place through Interlibrary Loan?
Requests are limited to four (4) per month per patron.  Patrons will be contacted when they have placed more than four (4) and asked which they would like placed immediately.  Staff will cancel or hold the rest of the requests until the following month.  Rollover requests will count towards that month's requesting limit.

What cannot be requested?
DVDs; entire issues of magazines; LPs/ vinyl records; Best Sellers; items in high demand; Course Books and Textbooks; items less than 14 months old.  Some genealogical materials and old/rare books are difficult to obtain.

How long will it take to fulfill the request?
ILL requests are placed on Wednesdays of each week. If a request is placed that day, it will not be processed until the following Wednesday. The turnaround depends entirely on the library's location and how often the lending library processes its ILL requests. Items from Georgia libraries normally take between 7 and 14 days to arrive. Items from libraries outside of Georgia may take longer, even up to one (1) month.  

How will I know when the item I requested arrives?  
Patrons are notified if a request cannot be fulfilled by the date specified as "not needed after."

How long may I keep the item?
Items are received from the lending library with the date the item is due at that library. ILL does not set the due dates.  Most items are renewable one time upon approval of the lending library.  All renewals should be requested at least three (3) days before the due date to allow ILL staff to request a renewal from the lending library, which may or may not grant the renewal.

Are there any restrictions?
Some items arrive with restrictions set by the lending library. Restrictions are usually of two kinds: "IN LIBRARY USE ONLY" (the item may not leave the library) and "NO RENEWALS" (the item may not be renewed and must be returned by the original due date). ILL does not set these restrictions. The lending library sets the restrictions, and the Thomas County Public Library System must follow them.
